Privacy Policy

Our privacy policy explains how we collect, use, and protect your personal information.

1Introduction

This Privacy Policy explains how the Kenya Climate Change Knowledge Portal collects, uses, stores, and protects personal data. The portal is managed by the Climate Change Directorate under the Ministry of Environment, Climate Change and Forestry and complies with the Kenya Data Protection Act, 2019.

2Scope

This policy applies to all users accessing the portal, including those who browse, download content, submit information, or interact with any portal features.

3Data collected

The portal may collect limited personal data where necessary, including:

  • Name and organisation, where provided through forms
  • Email address and contact details
  • Information submitted through content contribution forms
  • System generated data such as IP address, browser type, and usage patterns

The portal does not collect unnecessary personal or sensitive data.

4Purpose of data collection

Personal data is collected and used for the following purposes:

  • Responding to inquiries and communication
  • Managing content submissions and stakeholder engagement
  • Improving portal functionality and user experience
  • Monitoring usage and performance of the portal
  • Supporting communication on updates, where consent is provided

5Lawful basis for processing

Data is processed based on consent, public interest, and legitimate administrative functions of the Government of Kenya in managing climate information systems.

6Data storage and security

All personal data is stored securely using appropriate technical and organisational measures. Access to data is restricted to authorised personnel only.

7Data sharing

Personal data will not be sold or shared with third parties for commercial purposes. Data may be shared with relevant government institutions or technical partners strictly for purposes related to portal management and operation.

8Data retention

Personal data is retained only for as long as necessary to fulfil its intended purpose or as required by law. Data that is no longer required is securely deleted or anonymised.

9User rights

Users have the right to:

  • Access their personal data
  • Request correction of inaccurate data
  • Request deletion of their data where applicable
  • Withdraw consent where processing is based on consent

Requests can be made through the official contact channels provided on the portal.

10Cookies and analytics

The portal uses a self-hosted, privacy-focused analytics service operated within the KCCKP infrastructure. It measures page visits, approximate unique visits, downloads, outbound links, video plays, successful form submissions, device and browser categories, geographic trends, referral sources, and website performance. Search terms, form contents, names, email addresses, identification numbers, and other information typed into forms are not sent to analytics.

The analytics service does not use advertising cookies or share visitor data with advertising networks. It honours browser Do Not Track settings, excludes URL query strings and fragments from normal page-view reports, and rotates the anonymous session salt monthly. Limited samples of visits may be used for click and scroll heatmaps and short session replays to improve navigation and accessibility. The replay recorder may process the current page address, including a query string or fragment, entirely within the Ministry-controlled analytics infrastructure. Users and content authors should therefore never place personal or sensitive information in a portal URL. Replay text and all form fields are masked, sensitive form areas are blocked from recording, and no canvas or cross-origin iframe content is captured.

11External links

The portal may contain links to external websites. This Privacy Policy does not apply to third-party sites, and users are encouraged to review their respective policies.

12Updates to this policy

This Privacy Policy may be updated periodically to reflect changes in legal requirements or portal operations. Updated versions will be published on the portal.

13Contact information

For questions or requests related to this Privacy Policy, users may contact the Climate Change Directorate through the official contact details provided on the portal.
